Home/Terms and Conditions

1. Introduction and Acceptance of Terms

These Terms and Conditions (“Terms”) govern your use of the Call To Scan Ltd. website (the “Website”) and the commissioning of any mobile diagnostic and screening procedures (“Services”) provided by Call To Scan Ltd.
By accessing the Website or booking Services, you confirm that you accept these Terms and agree to comply with them. If you do not agree to these Terms, you must not use our Website or book our Services.

⦁ Service Provider: Call To Scan Ltd. (Company Registration Number: 16881512), a private healthcare provider regulated by the Care Quality Commission (CQC).

⦁ Registered Office: 198 Horsenden Lane South, London, UB6 7NU.

2. Description of Services

Call To Scan Ltd. provides CQC-regulated mobile ultrasound diagnostic and screening procedures delivered by qualified and registered Sonographers at the client’s home or other agreed location.

⦁ Diagnostic Focus: Our Services are strictly limited to the performance of the agreed ultrasound scan and the provision of a professional diagnostic report.

⦁ No Consultation: The service is not a substitute for a full medical consultation, and our Sonographers are not permitted to provide medical advice, diagnosis, or treatment recommendations during the appointment.

3. Booking, Confirmation, and Patient Responsibility

3.1 Appointment Booking

All appointments must be booked through our official channels (Website, phone, or email). A booking is confirmed only when the required deposit (if applicable) or full payment has been received and you have received a confirmation email detailing the date, time, location, and preparation instructions.

3.2 Clinical Responsibility

It is the responsibility of the client to:

⦁ Provide accurate and complete medical history prior to the appointment.

⦁ Follow all pre-scan preparation instructions (e.g., fasting, hydration) as specified in the booking confirmation.

⦁ Ensure the provided location (e.g., home) is safe, accessible, and provides adequate space and privacy for the Sonographer to carry out the procedure.

3.3 Referral

If the requested scan requires a referral (e.g., from a GP or Consultant), the client must provide a valid referral document before the appointment can proceed.

4. Payment, Cancellations, and Fees

4.1 Payment

⦁ Fees: Service fees are clearly displayed on the Website or provided during the booking process.

⦁ Payment Methods: We accept payment via secure online portal, bank transfer, or card payment on site (subject to connectivity).

⦁ Third-Party Payment: Financial data is processed securely by third-party payment providers (e.g., Stripe); we do not store full payment card details.

4.2 Client Cancellation and Rescheduling

You may cancel or reschedule your appointment subject to the following notice periods:
Notice Period Action Fee Applied
More than 48 hours before appointment Full refund or free reschedule. None
24 to 48 hours before appointment Reschedule permitted. Cancellation incurs a 50% charge. 50% of the Service Fee
Less than 24 hours before appointment Cancellation or Reschedule incurs a 100% charge. 100% of the Service Fee

4.3 Non-Attendance (No-Show)

If the Sonographer arrives at the agreed location and is unable to gain access, or the client is not available at the confirmed time, this will be classed as a Non-Attendance. The full Service Fee will be charged, and no refund will be issued.

4.4 Call To Scan Cancellation

In the unlikely event that Call To Scan Ltd. must cancel or reschedule an appointment due to Sonographer illness, vehicle breakdown, or unforeseen circumstances, we will endeavour to provide as much notice as possible and offer a full refund or a mutually acceptable new appointment time.

5. Service Delivery and Clinical Disclaimer

5.1 Home Visit Environment

The client must ensure the environment meets basic health and safety standards. The Sonographer reserves the right to refuse to carry out the scan if the environment is deemed unsafe, unsuitable, or if there is a perceived risk to their well-being. In such cases, Section 4.3 (Non-Attendance) may apply.

5.2 Clinical Outcomes

⦁ No Guarantee: While our Sonographers are qualified, the performance of a scan does not guarantee that every medical condition will be detected. Ultrasound scans have inherent clinical limitations.

⦁ Critical Findings: In the event of an urgent or critical finding, the Sonographer will follow established clinical governance protocols, which may include advising the client to seek immediate emergency medical attention (e.g., calling 999 or attending A&E) and/or immediately informing the referring clinician.

⦁ Report Distribution: The final diagnostic report is typically sent securely to the referring clinician within 24-48 hours. A copy can be provided to the client upon request, provided the referral allows for it.
